1. The service

VirtualSurver is a business-only quote-to-close workspace for custom-project businesses, including print, signage, branded environments, promotional products, apparel decoration, event displays, and light fabrication. It helps teams turn a customer inquiry into a structured draft, prepare a human-reviewed quote, save selected quote records, and track business-level quote outcomes. The service is not a pricing engine, legal adviser, tax adviser, production feasibility tool, payment processor, or customer communications platform.

We may change, improve, suspend, or discontinue parts of the service when reasonably necessary for maintenance, security, legal compliance, or product evolution.

2. Business users and accounts

You must be at least 18 and use the service for a legitimate business purpose. If you create or administer a business workspace, you represent that you are authorized to act for that business and to invite, remove, or manage its members. You are responsible for activity that occurs through your account and for keeping account credentials secure.

Each active organization is a separate business workspace. Users must select the correct workspace and must not attempt to access information belonging to another organization.

3. Your data and customer information

You retain responsibility for the information you submit to VirtualSurver. You represent that you have the authority and any required notices or permissions to provide customer information for quote preparation. Do not submit unnecessary sensitive information, payment-card data, protected health information, government identifiers, or other data that should not be used in a general business quote workflow.

You grant us a limited right to process submitted information only to provide, protect, and support the service. You remain responsible for quote pricing, taxes, production decisions, intellectual-property permissions, delivery terms, installation obligations, and the final content you send to your customer.

4. AI-assisted drafts and human review

AI-generated outputs can be incomplete, incorrect, or unsuitable for a particular project. VirtualSurver does not generate a price and does not send communications to your customer. You must verify every field against the original request, use your own estimator and operational judgment, and review the quote before saving, printing, sharing, or relying on it.

5. Acceptable use

You may not use the service to break the law; infringe rights; upload malicious code; interfere with the service; bypass authentication, rate limits, or tenant restrictions; scrape information; test security without written permission; or use the service to process content that is unlawful, abusive, deceptive, or harmful. We may suspend access where we reasonably believe use violates these Terms, threatens the service, or creates legal or security risk.

6. Data lifecycle

Workspace members can delete individual saved quotes from the workspace. Reviewed quote data and document-branding settings are automatically removed after 90 days without authenticated workspace activity by any workspace member. Further information about data handling is in our Privacy Notice. You should keep any records you need outside VirtualSurver and should not rely on the service as your only backup or record-retention system.

7. Intellectual property

VirtualSurver, its software, design, and service materials are protected by applicable intellectual-property laws. Except for the limited right to use the service under these Terms, we reserve all rights. You retain rights in your submitted content and in your organization branding, subject to the limited processing right described above.

8. Disclaimers and limitations

To the maximum extent permitted by applicable law, the service is provided “as is” and “as available.” We do not promise that the service will be uninterrupted, error-free, suitable for every workflow, or that AI output will be accurate. Nothing in these Terms excludes a right or remedy that applicable law does not permit us to exclude.

To the maximum extent permitted by law, Virtual Surver is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages; lost profits, revenue, goodwill, or data; or business decisions made from a draft or quote. Any remaining liability will be limited as allowed by applicable law.

9. Governing law and resolving concerns

These Terms are governed by the laws of Trinidad and Tobago, without regard to conflict-of-law rules. Before starting formal proceedings, you agree to contact us and allow 30 days to try to resolve the concern in good faith. Subject to mandatory law, disputes will be brought in the courts of Trinidad and Tobago.

10. Changes and contact

We may revise these Terms when the service or legal requirements change. Continued use after the effective date of revised Terms means you accept them, except where law requires another form of notice or consent.
