Who we are and how to contact us

Virtual Surver operates VirtualSurver, a business-only quote-to-close workspace for custom-project businesses, including print, signage, branded environments, promotional products, apparel decoration, event displays, and light fabrication. In this notice, “Virtual Surver,” “we,” “us,” and “our” refer to the operator of the service.

Information we handle

We handle information necessary to run the service and information that workspace members choose to provide while making and managing quotes. This can include account and organization identifiers, a user’s email address and profile information supplied through our authentication provider, organization names and logos, and reviewed quote records.

Reviewed quote records can include a customer contact name or email, project specifications, quote amount and currency, notes, status, and the organization name or logo selected for the document. The source inquiry is not intentionally saved in VirtualSurver’s quote database. If a workspace member requests AI analysis, the inquiry text is transmitted to Cloudflare Workers AI to produce the requested draft.

We and our infrastructure providers may also process limited technical and security information, such as IP address, browser/device information, request metadata, and authentication or security events, as needed to deliver and protect the service.

Why we use information

We use information to authenticate users, maintain the active business workspace, provide quote drafting and storage requested by the business, calculate conversion metrics, show the selected document identity, maintain reliability and security, respond to requests, and comply with applicable legal obligations.

Where applicable law requires a legal basis, we process information to provide the service under our agreement with the business user, for our legitimate interests in securing and improving the service, to meet legal obligations, and with consent where consent is required. We do not use customer inquiry information to make pricing decisions or to send messages to the business’s customers.

Service providers and disclosures

We use carefully selected providers to operate the service. Clerk provides authentication and organization-management features, including optional organization-logo storage. Cloudflare provides the website, Workers, D1 quote database, security infrastructure, and Workers AI processing. Google Fonts provides web-font delivery. Each provider processes information under its own applicable terms and privacy commitments.

We may disclose information to these providers only as needed to operate, secure, and support VirtualSurver; to professional advisers where necessary; in connection with a merger, financing, or sale; or where required by law. We do not sell personal information or share it for cross-context behavioral advertising as of this notice’s effective date. Our current provider and AI disclosure is available at Providers & AI.

Retention and deletion

Workspace members can delete individual saved quotes in the workspace. We retain reviewed quote records and document-branding settings until the business deletes them or until the business has had no authenticated workspace activity for 90 days, whichever happens first. A daily cleanup process removes that inactive-business quote data and document-branding settings after the 90-day period.

Authentication and organization records maintained by Clerk have their own lifecycle. To request deletion of information that you cannot remove in the workspace, contact us at privacy@virtualsurver.com. We may retain limited information when necessary for security, dispute resolution, or legal obligations.

Cookies, analytics, and future integrations

VirtualSurver uses necessary authentication and security technologies to keep users signed in and protect the service. We do not currently operate advertising tags, marketing analytics, payment processing, email-delivery, or CRM integrations in the website. If we introduce optional analytics, advertising, payments, email delivery, CRM, or other integrations, we will update this notice and provide any consent or choices required by law before using them.

International use and your rights

VirtualSurver is available worldwide. Information may be processed in countries where we or our service providers operate. Depending on your location and applicable law, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also have the right to complain to a relevant data-protection authority. To make a request, contact us using the details above. We may need to verify your identity and authority before acting on a request.

Business customers are responsible for ensuring that their use of the service, including customer information they submit for quote preparation, has an appropriate legal basis and provides any required notices to their own customers.

Security and age restriction

We use measures designed to protect the service, including HTTPS connections, authenticated access, tenant-scoped application checks, and storage minimization. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

VirtualSurver is for business users and is not directed to anyone under 18. Do not use the service or submit personal information if you are under 18.

Changes to this notice

We may update this notice when our practices, service providers, or legal obligations change. We will post the updated version here and revise the “Last updated” date. Material changes will receive additional notice when required by law.
